Northwind renewal — pricing, seats, security review
ready · en · 5:52 · Feb 12, 2026 · Northwind Logistics
Summary
The price got settled quickly. The two things that actually matter came out sideways.
Priya, Daniel and Marta went through renewal pricing, seat count and the security review. Pricing landed at $38 per seat for year one on an annual commit, with the year-two increase capped at 5% and written into the order form. Worth remembering: Marta's objection was never the size of the number, it was that a per-seat line isn't predictable enough to defend internally. The cap is what unblocked her, not the discount.
The contract says 40 seats. There are 47 active accounts.
Daniel guessed 35. Marta's January reconciliation found 47 — contractors from the Denver rollout who were never deprovisioned. At the quoted rate that is roughly $5,000 a year of cost nobody intended to buy, and seats can only be removed at renewal, not mid-term. So this has to be cleaned up before the order form is signed, or Northwind carries it for a full year.
The real deadline is 3 March, not the end of May.
Nobody said this in one piece. It came out of three separate remarks: Northwind's fiscal year closes 31 March, so the commitment has to be signed inside this fiscal year or it falls into a budget that has not been agreed yet. That forces the March security board, which sits on the first Tuesday, and the board requires the packet ten working days ahead — which puts the packet deadline at 3 March. Marta said out loud that she had not connected the fiscal-year close to the timeline until that moment in the call. Slipping to April is not a delay, it is a different budget year.
Also said, and easy to lose
- Last year's security review took six weeks mostly because the packet arrived as a single 200-page PDF and the reviewer gave up. This round is a delta review — deltas marked, not a full resubmission.
- Invoices keep going to Daniel and sitting there; one waited five weeks. Marta wants them at ap@northwind-logistics.com.
- Slack integration is in beta and two of Daniel's leads have asked for it. Explicitly parked — Daniel does not want it attached to the renewal.
Action items
- Pull the active account list and deprovision anyone who has not logged in since November — the Denver contractors — before the order form is signed, not after. · Daniel Okafor
- Send the revised order form by Thursday: $38 per seat, annual commit, year-two increase capped at 5% in writing. · Priya Raghavan
- Count ten working days back from 3 March, confirm the security packet deadline with Daniel, and submit last year’s packet with the deltas marked rather than the full document. · Priya Raghavan
- Change the billing contact on the account to ap@northwind-logistics.com so the invoice stops landing in Daniel’s inbox. · Priya Raghavan

Transcript
Nobody in that call wrote any of this down.
They were busy having the conversation. Three things came out of it that would have been gone by the next morning:
A number that quietly contradicted itself
Daniel said 35 seats. The contract says 40. Marta remembered 47. That gap is about $5,000 a year, and it only exists because the three numbers were said four minutes apart by different people.
A deadline nobody stated
Fiscal year closes 31 March. The board sits the first Tuesday. The packet is due ten working days before. No one ever said “3 March” until Daniel did the arithmetic out loud — and if he had not, the date would have been lost.
The reason behind the objection
Marta was never arguing about price. She needed a number she could defend. Whoever handles this account next needs that far more than they need the quote.
And then you can just ask.
